Quickbooks,please advise

Through Chris's and everyones help I have decided to go for Quickbooks 2005 Premier. I need to be able to creat purchase orders and with a clic create an invoice.
Is there anything I need to know about premier? Is there a version that I should look for or is there just one?

Joe,

They advertise Premier for all types of industries but the way it works is when you install, you pick the industry that is closest to yours, and it installs a version that works best for you.

I picked "Manufacturing & Wholesale" and this works great for me.

I use the Pro version of Quickbooks as I don't need that much inventory help. However, in another company that I own, we use Quickbooks premier, Manufacturing and Wholesale as that allows me to build from componant parts and track raw supplies as well as completed inventory. The cost is about $200 more for Premier and I really did not think I needed that extra stuff for the Promotional Products as it is mainly JIT inventory. I don't carry stock in this business.

We use QB Pro since 2000 and have upgraded twice - newest being the 2005 - it has more features and the bugs seem to be worked out. We looked at the Premier & decided we also didn't need the extra stuff also.

But don't you need to have premier to easily create a sales order and then convert it to a invoice and purchase order with 1 click? I am pretty sure this is why we went with premier.

We use the sales order form as an "Order Acknowledgement" and then we use the quick dropdown to generate the invoice and purchase order to the supplier. It works great.

We use the Estimate and renamed it Quote & set it up for all Clients to sign for approval
any art layouts are tied by the Quote number- 1 click converts it to invoice upon shipping, as for PO's we have our own PO Form System set up for this, it imports the art in on one form to submit. We can pull and email any PO to a supplier as backup if needed and contains everything on the order, it is often submitted with the art as backup, CYA since they sometimes say they didn't get the Fax.

I use QB pro and every item is listed as a non inventory item. Otherwise you have to account for items that are inventoried at the end of the year.

I also use Pro and have it set up similarly to the previous posts. The main difference that I saw with the Premium version was that it contained more functions like "business plans" and "sales forecasting". That was something I could live without. I just wanted the accounting functions.

You can also do the "one click" creating that Chris describes above.

I just upgraded to 2006 Pro from a very early version so I am excited about the new functions like emailing invoices.

I see where you can create an invoice from an estimate but I don't see anything about creating a PO from the estimate. Am I just missing this somewhere? Shouldn't you be able to go from the estimate to the PO and then to the invoice?

I'd love to hear how others use Quickbooks in order to make less paperwork rather than adding more data entry time to my day.

Not without Premier if its the same as past versions.

Why bother with estimates, that is too many steps. Use Pro issue PO get invoice match against PO email invoice collect check get rich.

HELP!! We are new to Quickbooks and just purchased the Pro 2006 version. When trying to create an invoice, we are forced to choose an item from the 'items list'. This would mean that every time we sell a product, we would first have to create that product in the items list and then create the invoice. Is there a way to just create an invoice and type in the item? Please help!!

Yes you will need to enter the items into quickbooks in order to order and invloice them. Unless you carry inventory all products should be entered as non inventory parts.

I have quickbooks 2004 pro. I can e-mail ivoices estimates with a click. In the Premier edition does it let you go from estimate quote to PO to invoice? If so I will update. As to inventory. If you put a item in one time it's saves it . No big deal.

Quickbooks 2006 Premier does let you go from estimate to PO to invoice.

Try picking it up at Costco or Sams Club it is usually cheaper at those places.

I have 2005 Pro it lets you go from estimate (or you can rename it Quote) to invoice. If you want to go to a PO you have to go to Premier edition.

This feature is available only in the Premier and Enterprise Solutions editions. Learn how to upgrade your version of QuickBooks.
  • Display the estimate.
  • Click the Create Invoice arrow button at the top of the estimate form.
  • Choose whether to create a sales order or purchase order from this estimate.
To create a sales order
  • Click Sales Order to copy the estimate information to a new sales order for this customer or job.
    The new sales order is editable and can be customized just as if you created it from scratch.
  • When you have finished editing the sales order, save it.
To create a purchase order
  • Click Purchase Order to copy the estimate information to a new purchase order for this customer or job.
  • In the dialog that appears, choose whether to create the purchase order based on all or selected items on the estimate.
    If you choose to base the purchase order on selected items, you are asked to specify the quantities for the items on the estimate.
  • Select the quantities and click OK.
  • Fill in the vendor name on the new purchase order and edit or customize the purchase order as needed.

Elizabeth

Once you enter a product as a non inventory part you won't have to list it again. After it is entered it saves it so next time you just type the item and it comes up.
